Many of those brands might consider <a rel=\"noopener\" href=\"https:\/\/litmus.com\/blog\/what-to-expect-when-switching-esps\" target=\"_blank\" rel=\"noopener noreferrer\">switching ESPs<\/a> in the months ahead.<\/p>\n<p>However, before any brand switches <a rel=\"noopener\" href=\"https:\/\/www.litmus.com\/solutions\/esp\/\">ESPs<\/a>, they will likely write a request for proposal. A RFP is a list of questions you send to prospective vendors, whose answers you then compare to one another to differentiate their offerings and find the best fit for your brand\u2019s needs.<\/p>\n<figure id=\"post-21856 media-21856\" class=\"alignnone nudged\"><a rel=\"noopener\" href=\"https:\/\/www.litmus.com\/wp-content\/uploads\/2020\/04\/litmus-28_percent_of_brands_dissatisfied_with_at_least_one_of_their_esps.png\" target=\"_blank\" rel=\"noopener noreferrer\"><img decoding=\"async\" class=\"\" src=\"https:\/\/www.litmus.com\/wp-content\/uploads\/2020\/04\/litmus-28_percent_of_brands_dissatisfied_with_at_least_one_of_their_esps.png\" alt=\"28% of Brands Dissatisfied with at Least One of Their ESPs\" \/><\/a><\/figure>\n<p>But which ESP candidates should you include? How should your ESP RFP process go? What should you include in your RFP?<\/p>\n<p>To answer those questions and more, Litmus reached out to email experts at <a rel=\"noopener\" target=\"_blank\" href=\"http:\/\/marketing-democracy.com\/\" target=\"_blank\" rel=\"noopener noreferrer\">Marketing Democracy<\/a>, BrightWave, DEG, <a rel=\"noopener\" target=\"_blank\" href=\"https:\/\/trendlineinteractive.com\/\" target=\"_blank\" rel=\"noopener noreferrer\">Trendline Interactive<\/a>, <a rel=\"noopener\" target=\"_blank\" href=\"https:\/\/www.emailvendorselection.com\/\" target=\"_blank\" rel=\"noopener noreferrer\">emailvendorselection.com<\/a>, <a rel=\"noopener\" target=\"_blank\" href=\"https:\/\/www.laughlin.com\/\" target=\"_blank\" rel=\"noopener noreferrer\">Laughlin Constable<\/a>, and <a rel=\"noopener\" target=\"_blank\" href=\"http:\/\/www.redpillemail.com\/\" target=\"_blank\" rel=\"noopener noreferrer\">Red Pill Email<\/a>.<\/p>\n<h2>How long should the ESP RFP process take?<\/h2>\n<p>The consensus among our experts is that 6 months is the shortest amount of time to go from starting an RFP process to migration complete\u2014and that doesn\u2019t leave you much, if any, room for delays. They were much more comfortable with a 12-month runway till the end of your current ESP contract, especially for larger companies and ones with more integrations.<\/p>\n<blockquote><p>\u201cA simple rule of thumb we tell clients is to estimate how long they think their RFP will take\u2014and then double that,\u201d says Chris Marriott, President &amp; Founder of Marketing Democracy. [<a rel=\"noopener\" target=\"_blank\" href=\"https:\/\/ctt.ac\/k5oV6\" target=\"_blank\" rel=\"noopener noreferrer\">Tweet this \u2192<\/a>]<\/p><\/blockquote>\n<p>Lydia Mundie, Account Director at BrightWave, says, \u201cIt will most likely take 1-3 months for the RFP process to conclude (at an expedited pace), 2 months to identify and finalize the desired features and requirements of the new ESP (including that contract), and another 3 months to develop the migration plan and then successfully execute against that plan to officially make the switch.\u201d<\/p>\n<p>Be sure to give ESPs enough time to answer your questions. Don\u2019t give them less than a week to respond to hundreds of questions, says Cara Olson, Director of Relationship Marketing at DEG.<\/p>\n<p>\u201cI see brands insert very aggressive timeline schedules in the RFP and then rarely follow them,\u201d she says. \u201cReviewing the responses takes longer than they anticipate, and then scheduling the on-sites for presentations is sometimes requested in a week or less. If you really want a thoughtful response and killer presentation relevant to your business, allow more time. I also see a lot of RFPs issued in Q4, which is the worst time to issue an RFP in my opinion.\u201d<\/p>\n<p>Don\u2019t underestimate the time it can take to make decisions, says Andrew Kordek, Chief Strategist &amp; Co-founder at Trendline Interactive. \u201cBrands should be prepared to spend 5 months in decision-making mode,\u201d he says. \u201cIt might take 2.5 months just to gather the stakeholders in a room and ensure that the RFP is written correctly and succinctly for the vendor.\u201d<\/p>\n<p>That\u2019s all the more reason to not be stingy when budgeting time for an ESP RFP. \u201cWe\u2019ve seen timelines derailed because the brand person leading the RFP leaves mid-way through,\u201d says Marriott, \u201cor the team neglects to determine in advance the criteria for selecting the winner at the end of the process. Here\u2019s <a rel=\"noopener\" href=\"https:\/\/litmus.com\/blog\/a-snapshot-of-the-email-service-provider-landscape\" target=\"_blank\" rel=\"noopener noreferrer\">a list of more than 240 ESPs<\/a> used by the respondents to Litmus\u2019 2018 State of Email Survey. But how do you narrow down the list? Time to do some research.<\/p>\n<p><strong>Ask experts.<\/strong> \u201cAsk your peers on LinkedIn for recommendations and you\u2019ll get pulled in 20 different directions,\u201d says Jordie van Rijn, founder of emailvendorselection.com. Instead, seek out industry experts, especially ones that know the ESP marketplace well.<\/p>\n<p>\u201cWork with your agency or another industry partner,\u201d says Emily Hauptle, Digital Strategist at Laughlin Constable. \u201cThey have evaluated ESPs for other organizations, understand platforms and what they offer very well, and can help you understand what features actually matter to support your business objectives.\u201d<\/p>\n<p>Several of our experts mentioned the following sources of ESP intel:<\/p>\n<ul>\n<li>Forrester (<a rel=\"noopener\" target=\"_blank\" href=\"https:\/\/www.forrester.com\/report\/The+Forrester+Wave+Email+Marketing+Service+Providers+Q2+2018\/-\/E-RES141851\" target=\"_blank\" rel=\"noopener noreferrer\">Forrester Wave: Email Service Providers<\/a>)<\/li>\n<li>Gartner, including G2Crowd.com (<a rel=\"noopener\" target=\"_blank\" href=\"https:\/\/www.g2crowd.com\/categories\/email-marketing\" target=\"_blank\" rel=\"noopener noreferrer\">Best Email Marketing Software<\/a>)<\/li>\n<li>The Relevancy Group (The Relevancy Ring: ESP Buyer\u2019s Guide)<\/li>\n<li>Red Pill Email (<a rel=\"noopener\" target=\"_blank\" href=\"http:\/\/emailvendorguides.com\/\" target=\"_blank\" rel=\"noopener noreferrer\">Email Vendor Guides<\/a>)<\/li>\n<li>EmailVendorSelection (<a rel=\"noopener\" target=\"_blank\" href=\"https:\/\/www.emailvendorselection.com\/email-service-provider-list\/\" target=\"_blank\" rel=\"noopener noreferrer\">Complete List of Email Service Providers<\/a>)<\/li>\n<\/ul>\n<p><strong>Look at the ESPs your peers use.<\/strong> Many ESPs specialize in serving brands in particular verticals. In <a rel=\"noopener\" href=\"https:\/\/litmus.com\/ebooks\/state-of-email-service-providers-2018\" target=\"_blank\" rel=\"noopener noreferrer\">Litmus&#8217; 2018 State of Email Service Providers report<\/a>, we broke out the top 10 ESPs in several verticals\u2014including retail, education, nonprofit, and tech\u2014and saw a number of ESP rise up onto those lists.<\/p>\n<p>\u201cTo narrow down the search, the brand will need to understand how each ESP is serving their vertical,\u201d says John A. Caldwell, President of Red Pill Email. \u201cLook at your particular brand and your competitors to start to weed out the ESP chaff.\u201d<\/p>\n<p><strong>Ask users of the ESP.<\/strong> Once you have a list of potential ESP candidates, you can narrow it further by doing demos and speaking with customers.<\/p>\n<p>\u201cIndustry events, like the Email Evolution Conference and the Email Innovation Summit, are great for exploring and hearing first-hand what other users think,\u201d says Caldwell, who adds that you can often get hands-on demos at events.<\/p>\n<p>Also, consider going to ESP events, says Rich Wilson, Vice President of CX at BrightWave. \u201cGo to the ESP\u2019s annual conference and network with existing customers to get first-hand information about what the tool\u2019s actual strengths and weaknesses are directly from users.\u201d<\/p>\n<div class=\"cta\">\n<table>\n<tbody>\n<tr>\n<td class=\"block-1\"><a rel=\"noopener\" href=\"https:\/\/litmus.com\/welcome\/esp-integrations\" target=\"_blank\" rel=\"noopener noreferrer\"><img decoding=\"async\" src=\"https:\/\/www.litmus.com\/wp-content\/uploads\/2020\/04\/logo.png\" alt=\"Litmus ESP integrations\" \/><\/a><\/td>\n<td class=\"block-2\">\n<h2>Litmus Works Where You Work<\/h2>\n<p>Litmus integrates with the email marketing platforms your team uses every day. This can be particularly disruptive if this person is in procurement or IT.<\/p>\n<p>\u201cOr maybe there\u2019s a new senior hire in IT who has his or her heart set on building their own in-house email solution,\u201d he adds. \u201cTrust me, if you hire anyone from Amazon, this is guaranteed to happen. If you neglect to get everyone\u2019s buy-in for your RFP plans, you will come regret it at some point in the process.\u201d<\/p>\n<p>In <a rel=\"noopener\" href=\"https:\/\/litmus.com\/ebooks\/state-of-email-workflows-2018\" target=\"_blank\" rel=\"noopener noreferrer\">Litmus\u2019 2018 State of Email Workflows report<\/a>, we discussed which departments were included in reviewing and approving emails. It\u2019s probably a good starting point to include any department in the RFP process that\u2019s involved on this level with your emails. Then look at the remaining departments that other brands include in their review processes and ask yourself if any of them should also have a hand in crafting your ESP RFP.<\/p>\n<figure id=\"post-21857 media-21857\" class=\"alignnone nudged\"><a rel=\"noopener\" href=\"https:\/\/www.litmus.com\/wp-content\/uploads\/2020\/04\/litmus-marketers_generally_work_with_2-4_other_departments_to_get_emails_reviewed_and_approved.png\" target=\"_blank\" rel=\"noopener noreferrer\"><img decoding=\"async\" class=\"\" src=\"https:\/\/www.litmus.com\/wp-content\/uploads\/2020\/04\/litmus-marketers_generally_work_with_2-4_other_departments_to_get_emails_reviewed_and_approved.png\" alt=\"Marketers Generally Work with 2.4 Other Departments to Get Emails Reviewed and Approved\" \/><\/a><\/figure>\n<h2>What questions should I ask in my ESP RFP?<\/h2>\n<p>We\u2019re not going to dwell on the questions around capabilities, integrations, cost, and other factors that are surely already top of mind for you. Instead, we\u2019re going to focus on some questions that might not be so obvious, but are nevertheless important.<\/p>\n<p><strong>Details please?<\/strong> In addition to asking the right questions, brands need to ask those questions the right way. Avoid asking yes\/no questions that hurt your ability to identify material differences in their ability to meet your requirements, says Marriott.<\/p>\n<p>\u201cWhen the RFP focuses on simple yes or no answers to every question, everyone will say yes to everything,\u201d he says. \u201cIt\u2019s critical that questions are posed in a way that requires the vendors to provide some explanation. For example, is the \u2018yes\u2019 response to a certain requirement based on out-of-the box functionality, a custom solution, or a third-party integration?\u201d<\/p>\n<p><strong>Services?<\/strong> Your RFP should be focused on platform capabilities, says Olson. Don\u2019t muddy the waters by trying to evaluate services offerings at the same time.<\/p>\n<p>\u201cRFPs should be separate for platform and services,\u201d she says. \u201cCombining the two together doesn\u2019t make sense. ESPs specialize in platform, not services.\u201d<\/p>\n<p><strong>Support?<\/strong> \u201cAsk about support service levels and how soon they will get back to you on an issue,\u201d says Hauptle. \u201cWhen you\u2019re in the heat of getting a major campaign out the door, the last thing you want is an unresponsive customer support agent or unclear next steps to get the issue resolved.\u201d<\/p>\n<p><strong>Data management?<\/strong> \u201cMost RFPs don&#8217;t include enough information about data management and segmentation capabilities,\u201d says Wilson. This may be a result of internal IT teams&#8217; assuming they will do the work in-house or that they don&#8217;t understand that the tools they are evaluating may have those capabilities. RFPs may ask a lot about data connection points&#8230;but handling the data once in the tool may be missing.\u201d<\/p>\n<p><strong>Migration success rate?<\/strong> Switching ESPs isn\u2019t simple. Ask about the migration process, says Kordek. \u201cHow many successful migrations do they do a year similar to our companies size? How many people on the sales or migration team have actually worked client side? What is your client retention rate in the last 2 years on companies my size?\u201d<\/p>\n<p><strong>Future-proof?<\/strong> Will the ESP have the capabilities that you\u2019ll need in the years ahead? To ask the right questions here, you\u2019ll need to ask some questions of yourself, says Caldwell.<\/p>\n<p>\u201cAsk yourself, How do I plan to position my brand in 5 years?\u201d he says. \u201cIf you know where you\u2019re heading, it\u2019s easier to determine what you need from your ESP to help get you there.\u201d<\/p>\n<p>Kordek agrees. \u201cMost companies want an ESP that they grow with, and not just the cheapest,\u201d he says. Otherwise, you\u2019re doing another ESP RFP process in just a few years. That\u2019s definitely something that everyone wants to avoid.<\/p>\n<p><strong>Are they humble?<\/strong> Kordek also recommends asking some questions that give you an idea of how honest and self-aware an ESP is. \u201cAsk: What do you guys suck at? He says. \u201cWhat would your best client say about you and what would your worst client say about you?\u201d<\/p>\n<p>Marriott adds, \u201cBrands need to remember that in the heat of a new business battle even the most professional ESP can fall back on a \u2018win now, figure it out later\u2019 strategy.
